What the Xero integration does

Tall Emu connects two-way with Xero. Customers, products, invoices and payments synchronise between the two systems: Tall Emu runs the sales, stock and operational work, and the financial record flows to Xero, so the bookkeeper keeps working in Xero with no re-keying. Data is entered once, in either system, and both stay aligned.

What stays in Tall Emu, and what goes to Xero?

Sales work stays in CRM

Leads, opportunities, quotes and sales orders stay in Tall Emu. Your team can work through the whole sale without filling the accounting system with unfinished work.

Invoices and money go to accounts

When a sale is invoiced, Tall Emu sends the invoice, customer, products, prices, tax and payment details to Xero, as far as the accounting system can reasonably hold them.

Stock totals go across. Operational detail stays.

Xero receives the stock and value movements it needs for accounts. Serial numbers, batches, warehouse locations, picking and shipment detail stay in Tall Emu.

Purchasing goes across when accounts needs it

A purchase order only needs to go to Xero when you need it there, such as for a prepayment. Otherwise, the supplier bill is the point where the purchase becomes financial.

Keep a large product range without cluttering accounts.

You might have 10,000 SKUs in Tall Emu, on your website and available for sale. They don’t all need to be created in Xero on day one.

A product goes across when you transact on it - for example, when it has stock, is purchased or is sold. From then on, Tall Emu updates the existing accounting product when relevant details change.

Payments can start in either system.

Payments taken or recorded in Tall Emu are sent to Xero straight away. Payments entered through bank reconciliation or directly in Xero are brought back into Tall Emu regularly, normally every two hours during business hours.

That means the sales and service team can see what has been paid without needing access to the accounts.

Use Tall Emu as the operational source of truth.

We make a reasonable effort to bring invoices and credits back if they’re adjusted in Xero, but we don’t recommend that as the normal process. Create and correct the operational transaction in Tall Emu so customer history, stock and accounts stay aligned.

Common Xero integration questions

Do my sales team need to work in Xero?

No. Sales and operations work in Tall Emu. Xero remains the accounting and compliance system for your bookkeeper or accounts team.

Do quotes and sales orders sync to accounts?

No. Quotes and sales orders stay in Tall Emu. The invoice is sent to Xero when the sale becomes financial.

Does every product have to exist in accounts?

No. Products can live in Tall Emu and on your website until they have stock, are bought or are sold. Tall Emu then creates or updates the product in Xero as needed.

How do payments move between the systems?

Payments recorded in Tall Emu are sent to Xero straight away. Payments entered in Xero are brought back into Tall Emu regularly, normally every two hours during business hours.

What syncs between Tall Emu and Xero, and in which direction

The integration is two-way: Tall Emu runs leads, quoting, orders, inventory, manufacturing, warehouse and freight, and the financial documents flow to Xero, so the bookkeeper works in Xero uninterrupted.

  • Customers and contacts - two-way, one customer record across both systems.
  • Products and prices - shared catalogue, including price breaks and foreign-currency purchases on the Tall Emu side.
  • Invoices - quotes and sales orders convert to branded invoices in Tall Emu, viewable and payable online, with the financial record in Xero. Recurring and subscription billing supported via Stripe and eWAY.
  • Payments - online payments reconcile through to Xero.
  • Auto-invoicing on shipment - the warehouse process can invoice based on what ships, when it ships.
