Tall Emu CRM updated – version 2.8 release notes

Introduction

This document describes the changes to Tall Emu CRM since version 2.6.0.12320.  If your version of CRM is older than this, additional changes not in this document may be noticed.   Similarly, if you are running a pre-release version of CRM newer than version 2.6.0.12320 some of these changes may already be in effect.

New Features and Enhancements

Phone System Link

Over 30 different phone systems can now be connected to Tall Emu CRM to enable popup alerts identifying the customer who is calling you as the phone rings. (*extra licence fee applies for CTI, and may also require add-on to your phone system).

Clickstream and eMarketing

Track visits to your site inside CRM – see what keywords are driving business (not just visits to the site).

Quoting & Selling

Several important new features have been added for quoting and selling to make the system more user friendly and powerful.

  • Added option “Check Courier Company” in settings to allow checking if courier companies will deliver specific products or not to be turned on or off.  When off, it is assumed any courier will deliver any type of product.  When it is turned on, it is necessary to define which couriers will deliver which product types.
  • It is possible to edit the cost price of an item on a sales order. This allows you to correctly manage margins where the cost price is always item specific, for example, custom jobs.
  • Quote Items now show all possible price levels for the item to aid salespeople in pricing.
  • “Purchase History” has been added to the sales order  and quote items to allow salespeople to see what prices items have been quoted or sold at recently.
  • Product availability is now imported from the accounting system (MYOB and QB only) and shown on Quote and Sales Order items.
  • Ability to set “Sales Order to Parent” is added for Parent/Child Companies. This allows you to generate a quote for a regional office, but have the sales order generated against head office.
  • Ability to set “Invoice to Parent” is added for Parent/Child Companies. This allows you to generate a quote or sales order for a regional office, but have the Invoice generated against head office.
  • Multi-Location sales orders now supported (e.g. Sell items on same order from more than one location)

Import Wizard

  • The import wizard will now show a count of all of the items imported (for example:  “Imported 200 contacts, Created 60 Companies, updated 20 companies).
  • The ability to merge records in import has been created (for example – import with key based on email address; update phone number only if it is blank in CRM).

Emailing, SMS and Faxing

  • The structure of CRM has been changed to allow more than one sending email server to be defined for use in email campaigns.  We currently support unlimited SMTP server, and are in process of adding in a hosted server to allow large campaigns to be send quickly.
  • Structural changes are also added to allow us to add new SMS, Fax and Email companies more quickly in future.

Advanced Filters

  • It is now possible to use parameterised advanced filters at the user interface, especially adding parameters in SQL Sub QueriesAccounting Interfaces
  • This release features a significant broadening of the accounting interface capabilities, including fuller support for Quickbooks, MYOB Premier, MYOB Enterprise, and EXO.

Quickbooks

Many users do not use quick books as designed. Several workarounds to deal with the Quick books data structures have been added, the scope of our interaction with quick books has been increased and a number of bugs and annoyances have been addressed.

  • Import from QB to Company will Customer Name if the Company Name is empty
  • Product Discounts now supported.
  • Export of customer-specific pricing is now supported.
  • Quickbooks multi-level product category is supported.
  • Added support for sales rep field on invoice when importing/exporting
  • Added ability to export Employees to Quickbooks
  • Added new option “Treat Job as …” for QuickBooks accounting system which allows users to import jobs from Quickbooks as either Projects/Jobs (as designed) or to cater for a case when some customers used Jobs as “Sub Customer”
  • Export payment term
  • Added ability to import “Price Levels”  from QB, and set appropriate price type on the company record.
  • Added ability to export Price Levels to Quickbooks
  • Added ability to set price level when exporting a company.
  • Added ability to export products in QuickBooks with valid product type and hierarchy.
  • Added ability to order product identifiers according to hierarchy of a product categories when products export to QuickBooks.
  • Import Sales Rep from Quickbooks

  • Allow import of all payment terms from QB
  • Set Payment term correctly when exporting to QB
  • Allow ability to import and export account number to/from QB
  • Added export of assigned Sales Rep on invoice.
  • Import and Export of Company notes from QB is now supported.
  • Added ability to import general journal entries.
  • Ability to import QB Units of Measure
  • Added ability to import available stock levels (workflow configuration to run every nn minutes)
  • Improved reliability of importing large (>4GB) Quickbooks data files.
  • Added ability to import only unpaid invoices in Quickbooks Connector;
  • Fixed export of addresses to QB that contains more than 5 lines
  • Added ability to import inactive employees;
  • Fixed issue with export of the “City” fields with length equals to 31 chars;
  • Changed number rounding in QB from bankers rounding to standard rounding.
  • Added ability to import/export “Note” for addresses
  • Added ability to sync fields “PURCHASE_TAX_RATE_ID”, “DESCRIPTION_PURCHASE”, “IS_PURCHASEABLE” for the all types of products.
  • Added ability to export “Asset Account” in the workflow “Create Product In QuickBooks + Update In TECRM”.
  • Ability to import/export “Asset Account” for products.
  • Added ability to import payment for partial paid invoices.
  • Added ability to import/export field “IsActive” for Projects.
  • Added ability to import empty price types like the “None” price type.

MYOB

  • Added support for MYOB custom lookup list on products.
  • Added support for MYOB custom fields on products
  • Added ability to import additional prices from MYOB;
  • Added support for Enterprise Edition
  • Added support for locations.
  • Import last cost rather than standard cost
  • Import of payment terms list has been added.
  • Exporting of companies can now apply correct payment terms.
  • Added ability to import/export custom fields for products in MYOB, including custom lists.
  • Added ability to sync “Account Number” for Companies from/to MYOB;
  • Added ability to set correct price level when sending customer to MYOB.
  • Import from MYOB will set correct price level of customer.
  • Importing of price books from MYOB is now supported.
  • MYOB will now import and export employees.
  • Added ability to export invoice’s field “PO Number” to MYOB
  • Added ability to import stock levels in the import of products from MYOB, QB;
  • Multi Location support for sales orders and invoices (MYOB Enterprise Only)
  • Import locations from MYOB – note locations from CRM cannot be exported to MYOB as MYOB does not support this.

EXO

  • Added ability to import new entities “AccountGroup” and “PaymentTerm” from EXO.
  • Added ability to import new fields (Aged Balance Current, Aged Balance 1 months, Aged Balance 2 months, Aged Balance 3+ months, Primary account group, Secondary account group, Open item, Stop credit, Credit terms) for Customers and Suppliers.
  • Added sync of  Account Number for EXO’s companies;
  • Fixed issue with “null” sell price for products from EXO which caused problems at some sites.
  • Added  import of the “Credit Limit” from EXO.
  • Import of price levels(e.g. price types and price books) form EXO has been added;
  • Import/export field “Reference” in the EXO Proxy for the entities “Quote”, “SalesOrder”, “Invoice”.
  • Added ability to export new fields (Primary account group, Secondary account group, Open item, Stop credit, Credit terms) to EXO’s companies.
  •  Added ability to import purchase tax rate.
  •  Account Group and Payment terms are now imported from EXO.

 Reports

  • Enabled Label Printing in reports engine.
  • Quote, Invoice, Sales order reports have additional fields added out of the box to make it easier to customise to your preference (drag and drop).
  • Invoices Issued report
    • allows selection between “Created, Issued, Sent” date
    • Does not show zero-value rows.
  • Unpaid Invoices reports
    • Does not show zero-value rows
    • Adds a new column “Older” to show unpaid invoices older than 12 months.

Minor Feature enhancements and bug fixes

Several annoying issues were reported to us and have been fixed.  These include:

  • Unexpected text in filters on the grid could cause a crash.
  • Fixed a problem where a lack of debug log directory permissions caused CRM to crash.
  • Fixed grid to avoid errors with “(Blanks)” and “(NonBlanks)” conditions.
  • Email attachments are now shown in the documents grid, rather than being hidden.
  • Fixed a couple of bugs in the csv importer where columns contain separator characters.
  • Fixed a bug in workflow interface where a timeout can cause communications failure.
  • Added a unique constraint on “Country Name” to avoid importing duplicate country names in import operations.
  • Improved operation of “Next Step” on both contact and opportunity.
  • Cleaned up advanced filter fields to not show duplicate field names
  • Deleting a currency, location, account group,payment term from CRM will now delete the accounting system cross reference allowing it to be imported again.
  • Fixed issue with overflow of the “mapi folder” field in emails
  • Added “Asset Account” to product for use in accounting system mapping.
  • Added field “Is Active” on project.
  • Allowed Phone editor control to make “click to call” operations when the control is read only.
  • Advanced Filter now allows Is Empty and Is Not Null conditions for Date Time, Money field types.
  • Merge of company records now supports Accounting Link.
  • Calendar: Add ability to re-order users in the calendar view (drag and drop)
  • Calendar: Added ability to create records from within the “Time View”

Outlook Add-In

The Outlook Add-in has been tuned to fix a variety of bugs discovered in the field:

  • Out of memory errors on images,
  • permissions issue problems
  • large email identifiers
  • Fixed problem with email addresses which contains apostrophe.
  • Modified so that multiple email addresses are checked in the plugin.

Shopping Cart

Several shopping cart enhancements are added to assist with the use of the Tall Emu shopping cart and CRM.

  • Sync Performance improved.
  • Shopping Carts defined in CRM can be named, so you know by a meaningful name which of your shopping cart is generating business.
  • Username, Password for Paypal, Payway and eWay can be defined within CRM.
  • Cart options such as email address for order confirmation can now be set in CRM.
  • Name of cart is used in Quotes, Sales Order to identify which cart the sale came from, rather than the URL of the cart.
  • Test button added to allow setting to be verified without trial and error.
  • Ability added in CRM to create a username & password in the shopping cart for the customer, or change their username and password if required.

Studio Designer Changes

  • Added the ability to override core data while editing customisations.
  • Added the ability to edit grid size on selector forms.
  • TreeviewDropDownControl is added. This control provides an ability to render a hierarchical data sets;
  • Added ability to edit popup menus on grids.

Installers

  • The server installer now includes the shopping cart installer.
  • The Billing Service is no longer installed by default.
  • Added Traitel SMS and Faxing interfaces to the server installer.
